Administrative Assistant & Board Liaison – Part Time 15 Hours per week

Location – ACCESS Head Office 108-100-Park Royal South, West Vancouver

Position Summary

Reporting to the President and CEO, the Administrative Assistant and Board Liaison provides leadership, organization, confidential administrative and project management support to the President and CEO and the Board of Directors. General administration, strong multi-tasking and communication skills along with the ability to meet deadlines ensuring Terms of Reference requirements are met are a fundamental component to this role.

Key Responsibilities:

  • Coordinate and facilitate arrangements for Board of Director’s meetings and other special events
  •  Support the President & CEO and the Board of Directors by coordinating information flow and communications, serving as the primary contact responsible for the timely and accurate delivery of all Board meeting packages.
  • Record accurate meeting minutes; draft emails, memos, reports, and other correspondence; and provide support with regulatory documentation and activities as required
  • Plan and coordinate the organization’s Strategic Planning session and the Annual General Meeting (AGM), ensuring all logistics and materials are prepared
  • Work professionally, collaboratively and respectfully with all colleagues and stakeholders
  • Other tasks as assigned by the President and CEO 

Qualifications and Experience:

  • Post-secondary education in communications, business administration, or a related field; an equivalent combination of education and experience will be considered.
  • Extensive administrative experience with at least 3 years’ experience in senior administrative roles
  • Proven experience working with non-profit organizations, including supporting Boards of Directors and preparing meeting minutes
  • Knowledge of relevant Board of Director/ Board of Governance best practices in British Columbia
  • Experience working with Urban Indigenous community and/or First Nations organizations is considered an asset
  • Demonstrated professionalism, confidentiality, and strong interpersonal skills, including maturity, diplomacy, and the ability to build positive and effective relationships with all stakeholders
  • Consistently exhibits a positive presence and a strategic, solutions‑driven mindset

Skills and Abilities

  • Ability to take initiative and leadership, as well as be a strong team player who aligns with ACCESS’ core values
  • Strong organizational and planning skills, exceptional attention to detail, a high level of accuracy, and the ability to manage multiple deadlines effectively Excellent written and verbal communication skills
  • Advanced proficiency in Microsoft Office and experience with database and document management systems, including managing agendas, minutes, correspondence, and Board reports
  • Valid drivers’ license with a clear abstract and reliable vehicle
  • Ability to pass a vulnerable criminal background check
  • Occasional travel may be required for special events, including the AGM

Hourly Rate – $33.00
