Trades Administrator

Location – ACCESS Head Office 108-100-Park Royal South, West Vancouver

Position Summary

Reporting to the Director of Trades, the Full Time Trades Administrator records management processing -input, tracking, and reporting of Trades program activities and clients using spreadsheets and databases.  In accordance with the Trades Procedure Manual, provides general administration support to the Director and Trades team, contributing to the efficiency of day-to-day operations.

Key Responsibilities

  • Collaborate with the Employment Services department and Trades Team to coordinate and process client intake information
  • Create and maintain client profiles for SPF clients in ARMS, ensuring all data is accurate, complete, and regularly updated for reporting requirements
  • Set up client profiles in the Apprenticeship Database and record trainee and apprentice results following training activities
  • Prepare cheque requisitions for the Trades department in accordance with established procedures and guidelines
  • Schedule interviews for apprentices and trainees in coordination with Trades staff.
  • Participate in ACCESS community events and initiatives that support the organization’s mission and vision, including Community Forums, Job Fairs, Powwows, and related activities.
  • Maintain current and accurate contact information for employers, training institutions, partners, and clients
  • Plan, schedule, and organize Trades completion ceremonies and related meetings or events

Qualifications & Experience

  • Completion of a certificate or diploma in Business Administration or Records Management, supported by a minimum of two years of office experience performing administrative, database, and records management duties.
  • Experience in the construction or trades industries is considered an asset
  • Experience working within large, complex programs or departments
  • Experience working with Indigenous peoples and communities is considered an asset, along with a demonstrated ability to build respectful, culturally informed relationships

Skills & Abilities

  • Strong computer and database skills, including proficiency with MS Office (Word, Excel, PowerPoint), and the ability to quickly learn new software and systems
  • Exceptional organizational skills with high attention to detail and the ability to manage multiple priorities effectively
  • Demonstrated ability to apply due diligence, exercise sound judgment, and address program challenges with professionalism.
  • Strong interpersonal skills with the ability to communicate clearly and professionally in both written and verbal formats
  • Proven ability to build and maintain positive, productive working relationships with staff, training institutions, and external stakeholders
  • Ability to take initiative and demonstrate leadership while contributing as a collaborative team member aligned with ACCESS core values
  • Awareness of ACCESS programs and services to support successful trainee outcomes.
  • Understanding of the apprenticeship process
  • Experience working with Indigenous peoples and communities is considered an asset, along with a demonstrated ability to build respectful, culturally informed relationships

Salary – $54,015 based on a 37.5 hour work week
